Job Description

Selective Staffing Solutions has partnered with a pristine hospital located in downtown Buffalo that has been serving its community for more than 120 years with care characterized by its compassion, innovation, and effectiveness. This company is based on the core values of commitment, integrity, respect, quality, and safety. They are looking to add skilled Full-Time Clinical Center Associates to their team. 
Job Responsibilities: 
  • Schedules discharge follow-up appointments; coordinates and schedules tests in ancillary   departments (i.E. CT, X-Ray, MRI, PET, Lab, chemotherapy, radiation, etc.). 
  • Maintains and manages inpatient or outpatient census list, including canceling clinic appointments   and alerting medical team and ancillary clinics of patient admission status; compiles a list of patient   providers and disseminates to staff. 
  • Maintains and organizes patient education and pertinent forms. 
  • Greets patients and family members, obtains patient protective HIPPA password, ensures patient   portal is up to date. 
  • Registers patient’ s admission upon arrival; verifies and reviews patient’ s insurance information and   demographic sheet, ensures patient has admission paperwork completed i.E. Caregiver identification and authorization form, consent for treatment. 
  • Types letters, memoranda, and meeting minutes; ensures outside hospital records are copied and   images uploaded to company system. 
  • Maintains nursing records to ensure compliance with records retention hospital policy and other   governing bodies i.E. Crash cart checklist, time schedules, daily attendance record. 
  • Maintains yearly inpatient or outpatient Informational Technology asset lists. 
  • Facilitates and coordinates patient transportation. 
  • Transcribes paper orders to the electronic medical record (EHR) i.E., blood work. 
  • Opens the center including picking up keys and paperwork from security, assembling paperwork,   printing schedules, checking telephone messages, and picking up co-pay bags. 
  • Greets patients and requests green card, photo ID, and insurance card, checking against   information in scheduling.Com, MSP compliance reports, and demographic sheets. 
  • Registers a patient’ s arrival; reviews demographic and insurance information with the patient to   determine need for updates; makes corrections to documents or computer information.
  • Collects insurance co-payments and manages the reconciliation process. 
  • Communicates to patients regarding the status of their appointment while in the waiting area; this   may include waiting room rounding to ensure patients are identified and kept informed of their   appointment status. 
  • Answers telephones, routes callers, takes messages and provides routine information to callers;   acts as a liaison between patient and physician and other incoming organization and community   calls. • Welcomes visitors, determines nature of business, and announces visitors to appropriate   personnel.
  • Types letters, memoranda, forms, reports and manuscripts from written copy or transcription;   proofs materials for errors and ensures layout is in keeping with organization format; scans digital recordings to CD. 
  • Checks out patients including reviewing order sheets/orders and scheduling follow-up   appointments, labs, or diagnostic tests as needed. 
  • Submits requests for the scheduling of OR cases; coordinates and schedules tests in ancillary departments (i.E. CT, X-ray, MRI, PET, Lab, pre-admissions testing, chemotherapy, radiation, etc.) 
  • Coordinates and prepares patient’ s appointments/itinerary. 
  • Provides assistance to patients and visitors; refers questions to the appropriate personnel. 
  • Maintains and manages practitioner’ s clinical schedules, including the canceling of clinic time and rescheduling of patient appointments appropriately. 
  • Enters data from source documents into computer following format displayed on screen and enters   necessary codes; compiles, sorts and verifies accuracy of data to be entered; responds to inquiries   regarding entered data. 
  • Determines what patients did not keep their appointments; notifies MD and/or NP and contacts those patients as directed; prepares and sends “ No Show” follow up letters. 
  • Assists in training other staff members on the appropriate use of equipment, office systems and   work procedures as requested. 
  • Assists other centers with administrative duties as related to patient care. 
  • Assists nurses, physicians, and other clinical and/or medical personnel with clerical support. 
  • Maintains, sorts, files, and obtains patient records, files and/or charts; retrieves patient records, test results and/or charts from outside sources. 
  • Duplicates and distributes photocopies.
  • Opens and routes incoming mail; prepares outgoing mail. 
  • Orders and maintains office supplies; arranges for office equipment maintenance. 
  • Maintains fax machines, assists users, and sends, retrieves and routes faxes. 
  • Prepares paperwork and patient records related to their area of responsibility. 
  • Possesses a working knowledge of medical terminology. 
  • Communicates with any age group throughout a life span. 
  • Maintains established departmental policies and procedures, objectives, quality assurance   programs, safety and compliance standards. 
  • Enhances professional growth and development by participating in educational programs, reading   current literature, and participating in in-service meetings and workshops. 
  • Prepares other written documentation as required by the profession and the department;   maintains, distributes, analyzes and projects information for required records, reports and statistics   as directed. 
  • Attends meetings as required. 
  • Performs other related duties as assigned or requested.

Job Requirements

Job Qualifications: 
  • Medical Office Assistant Associate degree; or 
  •  Associate degree and the equivalent of one year of full-time administrative support experience in a clinical setting requiring the use of medical terminology; or
  • High School diploma or High School Equivalency Diploma, completion of a company-approved Medical Assistant certificate program and the equivalent of one year of full-time administrative support experience in a clinical setting requiring the use of medical terminology; or 
  • High School diploma or High School Equivalency Diploma and the equivalent of two years of full-time administrative support experience in a clinical setting requiring the use of medical terminology.
  • Medical office experience. 
  • Possesses a working knowledge of the department and understand organization operations and  procedures
  • Ability to interpret a variety of instructions furnished and written, oral or scheduled format
  • Experience with EMR and appointment scheduling. 
  • Excellent customer service skills, attention to detail, ability to multitask.
  • Ability to maintain confidentiality
